What Passline stores, and why we need it to run the service.

This Privacy Policy ("Policy") explains how Passline ("we", "us") handles personal data on our website and in the Passline product.

If you use Passline for your organisation, you decide how your customers’ conversation data is used. We process that data to provide the product for you. See also our Terms of Service.

1.Who this applies to

This Policy covers visitors to this website, people who sign in to Passline, and people who call, chat, or message a business that uses Passline.

2.What we store

We only store what is needed for the product to work smoothly:

  • Account details (such as email and sign-in) — so you and your team can log in safely
  • Your organisation and assistant settings — so the assistant can represent your business
  • Phone numbers and connected chat channels — so calls and messages can be answered
  • Conversation content (calls, chats, transcripts, and summaries) — so your team can review and follow up
  • Bookings and callbacks you enable — so appointments can be scheduled
  • Files you upload (such as a logo or knowledge documents) — so the assistant can use them
  • Demo and contact details you send on this website — so we can reply to you
  • Basic security and usage records — so the service stays reliable and we can bill fairly where billing applies

3.Why we store it

We use this information to operate Passline: keep you signed in, run your assistants, show your conversations, support your team, keep the service secure, and improve the product. Optional website analytics run only if you accept them.

We do not sell personal data. We do not use your conversation content to train public AI models unless we have a separate written agreement with you.

4.Who we share it with

We share data only as needed to run the service:

  • People in your organisation who are allowed to use Passline
  • Trusted providers that help us host the product, send messages, place calls, sign people in, or (if you accept) measure website use
  • Authorities or advisors when the law requires it, or to protect rights and safety

If you connect a third-party account (for example sign-in or calendar), that provider’s own privacy policy also applies.

5.How long we keep it

We keep account and workspace data while you use Passline, and for a short period after if needed to close the account. Conversation records follow your workspace settings or our normal operating period. Contact-form messages are kept long enough to reply. We then delete or anonymise data unless the law requires us to keep it longer.

6.Cookies

We use essential cookies so the site remembers your language and so you can stay signed in. These are necessary for the service to work. Optional analytics cookies are used only if you accept them. Details: Cookies & storage.

7.Your rights

Depending on where you live, you may ask to access, correct, or delete your data, or to withdraw analytics consent. If you have a Passline account, you can also use the settings in the product. If your data comes from a call or chat with a business using Passline, please contact that business first.

8.Children

Passline is a business service. It is not directed at children under 16, and we do not knowingly collect their data.

9.Changes

We may update this Policy and will show a new effective date when we do. Important changes may also be sent to your workspace contact email.
